Getting Started
Welcome to Mployr - your complete business management platform. This guide will help you get started with the essentials.
First Login
- You'll receive an email invitation with a link to set up your account
- Create a password of at least 8 characters - a long one you don't use anywhere else is best - then sign in with your email address and that password
- Optionally turn on multi-factor authentication for added security (see Security Settings below)
- Complete your profile information
If you already have an Mployr login - because you work for another business on Mployr - the invitation doesn't create a second account. The link asks you to sign in with the login you already have, shows which business invited you, and lets you choose whether to bring any of your existing details across - contact details, personal details, emergency contacts, and pay and tax details. Nothing is shared unless you tick it. Click Accept without sharing (or Accept and share, which counts the items you've ticked) to join, or Decline. Until you accept, you have no access to that business and it doesn't appear in your business switcher.
If a sign-in fails, Mployr says the email address or password is incorrect - it deliberately doesn't say which, so nobody can use the login page to find out who has an account. Check you're using the address you sign in with (if it changed recently, use the new one), or reset your password. If your account has been suspended or deactivated, the message says so. After five failed attempts for the same address, Mployr either asks you to complete a CAPTCHA, or pauses sign-in for that address from the network you're on and says how many minutes to wait - resetting your password lifts the pause straight away. Whenever your password is changed or reset, Mployr emails you a confirmation so an unexpected change doesn't go unnoticed, and signs you out on your other devices.
You can also sign in with your Microsoft account - click the Microsoft button under Or continue with on the login page. It works when your Microsoft account's email address is the one you sign in to Mployr with.
If you belong to more than one business, switch between them with the business switcher at the top of the sidebar (with more than five, type in Search businesses... to find one). You work in one business at a time - switching changes it in every tab you have open. Switching requires a role at the business you're switching to. If a business isn't offered in the switcher, ask that business's administrator to assign you a role - or, if they've invited you, accept the invitation first.
Setting Up a New Business
If you're the owner or administrator setting Mployr up for the first time, you'll land on a welcome page rather than the dashboard:
The wizard works through the modules in order, and each step checks its configuration before it's marked complete, so you can pause and come back without losing your place. When setup is finished, Mployr walks you through going live. Until then, administrators manage the pilot under Admin > Rollout (see the Administration guide).
Dashboard Overview
The Dashboard is your central hub showing key information at a glance:
Customising Your Dashboard
- Toggle cards on or off - only cards for modules you can use are offered
- Your preferences are saved automatically - there's no Save button
Navigation
Sidebar Menu
The sidebar contains all main modules:
Undo and Unsaved Changes
On screens that save as you go - project boards, My Tasks, Time Tracking, the CRM lists, rosters, the org chart and bulk changes on many lists - you can take back your last change with the Undo button, the Undo on the confirmation message, or Ctrl+Z (change or switch off the key under Settings > Shortcuts). Undo only reaches your own changes on that screen, during that visit, and never something that has already left the business, such as an email sent or a pay run finalised.
If you try to leave a page with changes you haven't saved - by a link, the menu, the browser's Back button, switching business or signing out - Mployr asks first: Stay on Page, Leave Without Saving, or Save and Leave where the page can save from there.
Quick Access
The Quick Launch icons at the top of the sidebar are always to hand. By default they are:
Click Customise beside them to add your most-used screens or remove ones you don't need. Your avatar and name sit at the bottom of the sidebar - click them for Profile, Tasks, Settings and Logout (owners and admins also see Billing).
Your Profile
Access your profile from the user menu (bottom of sidebar), or from Profile > My Profile. Alongside your details, My Profile gives you:
The rest of the Profile menu holds your own work: My Tasks and My Calendar (see the Projects guide), My Mailbox (see the Email guide), Meeting Notes (below) and Time Tracking (see the Time & Attendance guide).
Business Card
The Business Card card on My Profile shows your card - your business's logo, your name and position, the business name, the contact details you choose and the website - with a QR code. Anyone who scans the code with their phone camera can save you as a contact straight away; the code holds your details themselves rather than a link.
The card uses your name, position and contact details from your profile - change them on the Personal tab - and your business's logo and website, which your administrators maintain.
Meeting Notes
Profile > Meeting Notes turns a meeting into written notes - a summary, decisions, action items, key points, open questions and the topics discussed - and keeps the transcript with them. Your meeting notes are private to you: nobody else in your business, administrators included, can open them.Click New notes and bring the meeting in one of four ways (for a recording or a transcript, you can give it a title and time first):
You can also open a finished Teams meeting in My Calendar and click Meeting notes. Settings on the Meeting Notes page lets you switch on Write notes automatically, so notes are written for Teams meetings you organise as soon as Teams has the transcript. Recordings are deleted once they've been transcribed.
Each meeting has Notes, Action items and Transcript tabs:
The Meeting Notes page lists your meetings in a table. Search titles and transcripts from the box above it, narrow the list by status or source, and delete a meeting from its row menu - or tick several and click Delete Selected. A meeting that failed shows Try again in its row menu.

Frequently asked questions
I didn't receive my invitation email - how do I log in?
Your account starts with an invitation email containing a setup link. Check your spam or junk folder first. The link expires after 72 hours, so if it has expired or still hasn't arrived, ask your administrator to send you a new invitation - they manage user access for your organisation.
I've forgotten my password. How do I reset it?
On the login page, click Forgot password?, enter your email address and click Send Reset Link, then follow the link sent to your inbox. The link works for 60 minutes, and your new password must be at least 8 characters. Mployr shows the same message whether or not the address has an account, so if nothing arrives, check your spam folder and that you entered the address you sign in with.
My password is right but I still can't sign in
The message doesn't say whether the address or the password was wrong, so check both - including that you're using your current sign-in address. After five failed attempts, Mployr either asks you to complete a CAPTCHA or pauses sign-in for that address from your network and says how many minutes to wait - click Forgot password? and reset your password to lift the pause straight away. If you haven't accepted your invitation yet, use the link in the invitation email first. If the message says your account is suspended or deactivated, ask your administrator.
How do I turn on two-factor authentication?
Go to Settings > Security and click Enable MFA on the Multi-Factor Authentication card. Scan the QR code with your authenticator app, enter the 6-digit code, click Verify & Enable, and keep the recovery codes somewhere safe. See the Settings guide for the step-by-step setup.
How do I change my profile photo or contact details?
Open your profile from the user menu at the bottom of the sidebar. Hover over your photo and click the camera button to upload a new one, and update your names, email addresses, phone numbers and addresses on the Personal tab. Your time zone and date format are under Settings > System.
I can't find a module in the sidebar - where is it?
The sidebar only shows the modules your business has switched on and your role has access to, and sections can be collapsed. Click a section header to expand its sub-items, or type in the Search menu... box at the top of the sidebar to jump straight to what you need. If you hid a section while reordering the menu, click Reorder, then Show all modules. If a whole module is missing, your role may not have access to it - your administrator can confirm.
How do I get help while I'm working?
Ask Jak, the built-in AI assistant - it answers based on the screens and permissions you actually have. You can also open the Help Centre from Help & Support in the sidebar, or raise a support ticket for technical issues. Your keyboard shortcuts are listed under Settings > Shortcuts.
I raised a support ticket. Can I add to it or chase it up?
Yes. Open it from Help & Support > My Tickets to read the replies and add a comment. If it was resolved or closed but the problem is still there, click Reopen Ticket. You get a notification when the support team replies. If you submitted it from the public help centre instead, the confirmation email has a link to follow it, and Lost Your Ticket Link? emails you a fresh one.
Who can see my meeting notes?
Only you. Meeting notes are private to the person who created them - administrators can't open them either. To share them, use Save to a project... (the project's members see the summary, decisions and action items, not the transcript), turn action items into tasks, or copy or export the notes.
Why can't I switch to another business I work for?
Business switching requires you to hold a role at the destination business. If you've been invited to it, accept the invitation from the email first - the business appears in your switcher once you've joined. If you can see the business but can't switch into it, an administrator there needs to assign you a role.
Another business invited me. Will it see my details from my current job?
Only what you choose to share. Accepting adds the new business alongside where you already work, and nothing about your current workplace changes. When you accept you can bring across your contact details, personal details, emergency contacts, and pay and tax details - nothing is ticked unless you tick it, and you can accept without sharing anything.
