Clock In/Out
How to Clock In
- Select your work location (if required)
- Confirm start time

GPS Verification (Optional)
If enabled by your administrator:
- Your location is verified when clocking in/out
- Must be within the geofence of work location
- Location data is stored for compliance
- Leaving the geofence while still clocked in is detected and treated as a possible missed clock-out
Forgetting to Clock Out
If a shift is left open, Mployr steps in rather than letting the hours run:
Correct the entry on the timesheet - the real finish time - and the block clears.
Timesheets
Submitting a Timesheet
- Select the pay period
- Review or add time entries:
- Date
- Start time and end time
- Break duration
- Work type/category
- Add any notes or explanations
Rather than typing a fortnight of identical days, use prefill to pull suggested per-day times from the published shifts for the period, falling back to the employee's roster pattern where there's no shift. Days on approved leave are skipped. You can also duplicate a row, or duplicate across a selection of days, and then adjust.

Time entries keep an append-only history of adjustments. Every change records who made it, when, and what the value was before - so a corrected entry can be explained later without relying on memory.

Two settings control how much noise a pattern makes:
Live Roster View
While a roster is running you can see it against reality: who is currently clocked on, and each shift's actual start and finish against what was rostered. Gaps between the two are visible on the roster itself rather than only surfacing at timesheet approval.
Publishing Rosters

Shift Swapping
Employees can request shift swaps:
- Click on your shift
- Choose the shift you want
- Other employee approves or declines
- Manager gives final approval

Requesting Leave

- Other (as configured)
- Enter dates and duration
- Add reason/notes
- Attach documentation if required
- Submit request
Leave types are defined per business, so the list you see is your own business's set rather than a shared global list.
Partly Paid Leave
Where a request is longer than the balance available, Mployr splits it rather than rejecting it:
- The covered portion is paid from the balance
- The remainder is paid as annual leave where that's the configured fallback, or recorded as unpaid
- An approver can edit the unpaid tail without unpicking the paid part

Projections count the days you'd actually be off according to your roster pattern, not a plain weekday rule - so a four-on/four-off roster projects correctly. Balances carry across the year boundary as required by the NES.

Troubleshooting
I can't clock in - it won't accept my location
If GPS verification is enabled by your administrator, you must be within the geofence radius of your work location to clock in or out. Move within range and try again. The radius is set per location under Time & Attendance > Work Locations by an administrator.
My shift swap hasn't gone through
A swap needs more than one approval. After you select Request Swap on your shift, the other employee has to accept it, and then your manager gives final approval. Check that all three steps are complete - until the manager approves, the swap isn't confirmed.
My timesheet was rejected
A rejected timesheet is returned with comments. Open it from Time & Attendance > Timesheets, read your manager's comments, fix the entries, and click Submit for Approval again.
My published roster isn't showing on someone's calendar
Only published shifts appear on employee calendars. If you created shifts but didn't publish, go back to the draft roster and click Publish - employees are notified and the shifts then appear.
Frequently asked questions
Why won't my leave request submit?
Some leave types require supporting documentation. If the request won't go through, check whether you need to attach a document (for example a medical certificate) before submitting under Time & Attendance > Leave.
How do I check my leave balance before booking a holiday?
Open Time & Attendance > Leave and view your balances - available balance, pending requests, taken this year, and accrued this period - before you submit a request.
Do my approved timesheets flow into pay automatically?
Yes. Once a manager approves a timesheet it's marked Approved and is picked up when you add the employee to a pay run in Payroll. You can also export time data for compliance.
How does break time affect my hours?
Breaks are tracked separately from work time. Use Start Break and End Break during your shift so your worked hours are calculated correctly. Where an award requires a break to be given and it wasn't, Payroll charges the award's meal-break penalty automatically.
I forgot to clock out. What happens?
You'll be nudged to clock out, and if the shift stays open it's auto-closed. Auto-closed time is never paid as recorded - the employee is held out of the pay run until someone corrects the entry to the real finish time.
My leave request was longer than my balance
It isn't rejected. The covered part is paid from your balance and the remainder is either paid as annual leave or recorded as unpaid, depending on how your business has it set up. Your approver can adjust the unpaid tail without touching the paid part.
Do I have to key in every day of a timesheet?
No. Use prefill to pull the period's published shifts (falling back to your roster pattern) into the timesheet, skipping days you were on approved leave, then adjust. You can also duplicate a row or a selection of days.
