Email Accounts
Everything Mployr sends on your behalf - payslips, invoices, campaigns - goes out through an account you own, so mail arrives from your domain rather than a shared sender.
Connecting an Account
- Choose how to connect:
Test Connection reports a plain-language reason when it fails rather than a raw transport error - a wrong port, a refused login, TLS that isn't what the server expects. Port 587 with STARTTLS is handled correctly.
Send-Only Accounts
Mark an account send-only where it exists purely to deliver mail and has no inbox worth syncing.
Ranking and Fallback
Where several accounts could send a given message, Mployr picks the ranked account for that purpose. If that account's connection is dead, it moves to the next rather than failing the send outright.
Connecting Your Own Mailbox
Staff can connect their own Microsoft mailbox for My Mailbox without an administrator granting shared-mailbox permissions. Sent messages are mirrored into your real Sent Items after they land.
Domains
Verify the domains you send from under Email > Domains. Verification proves to receiving servers that Mployr is allowed to send as your domain, which is what keeps campaign mail out of spam folders. Follow the DNS records shown for the domain and re-check until it verifies.
Templates and Layouts
Pick a layout per campaign and Mployr wraps the body in it at send and preview time, so a change to the layout updates every campaign that uses it.
Lists
A list defines who receives a campaign.
Recipients on a dynamic list can't be removed by hand - the filter defines the list, so change the filter instead. Dynamic recipients only ever resolve within your own business.

- Choose the sending account, the list and the layout
- Write or select the content
- Preview it - the preview shows the message inside its layout, as recipients will see it
- Send, or schedule it
Retrying Failures
Where individual recipients fail or bounce, retry those recipients specifically rather than resending the whole campaign.
Sending Limits
Each business has a sending limit and a running counter, which protects your domain's reputation and stops a misconfigured list from emptying itself into the world. If you're hitting the limit, talk to your administrator before splitting the send.

Frequently asked questions
Why did my payslips or invoices come from a different address than my campaigns?
Mployr sends each type of mail through the account ranked for that purpose. Check Email > Accounts to see which account is handling which kind of message.
Test Connection fails but my credentials are right
Check the port and encryption pairing first - 587 with STARTTLS and 465 with SSL/TLS are the usual combinations - and confirm the provider allows SMTP sign-in for that account. The error message names the actual failure.
My Microsoft account disconnected on its own
Microsoft connections can drop when the granted scopes change or consent is withdrawn. Reconnect from Email > Accounts - existing settings are reused, so you won't need to rebuild the account.
A recipient says they never got the campaign
Check Logs for that address first, then Suppressions - a previous hard bounce or complaint permanently suppresses an address, and it stays suppressed until removed deliberately.
Can I remove one person from a dynamic list?
Not directly - the filter is the list. Either adjust the filter so it doesn't select them, or add them to your suppressions if they should never receive campaigns.
Tips
- Verify your sending domain before running your first campaign
- Keep one layout per brand and let campaigns share it
- Send a preview to yourself before every campaign, not just the first
- Review suppressions occasionally - a growing bounce list usually means stale data, not bad luck
- Use send-only accounts for automated mail, and keep personal mailboxes separate
