The Insurance module helps you:
- Maintain a register of all business insurance policies
- Store certificates of currency and track their expiry
- Record premium payments and instalments
- Lodge and manage claims, including workers' compensation
- Stay on top of renewals and compliance deadlines

Policies
Adding a Policy
- Enter the policy details:
- Policy name and type (e.g. Public Liability, Professional Indemnity, Workers' Compensation, Motor, Property)
- Insurer
- Policy number
- Sum insured / cover amount
- Start and expiry dates
- Premium amount and payment frequency
- Save the policy
Policy Types
Common policy types you can track:
Renewals
Each policy shows its expiry date so you can renew in good time. Set the expiry date accurately to receive reminders before a policy lapses.
Certificates of Currency
Storing Certificates
- Upload the certificate file and record its valid-from and valid-to dates
- Save
Certificates are often requested by clients, principals, and regulators - keeping them here means they're easy to find and share, and you'll be alerted before they expire.
Premium Payments
Recording a Payment
- Enter:
- The policy the payment relates to
- Payment date and amount
- Instalment details (if paying by instalments)
- Save
Tracking payments here gives you a clear history of what's been paid against each policy and what's still outstanding.
Claims
Lodging a Claim
- Select the related policy
- Enter the claim details:
- Date of incident
- Person involved (for workers' compensation claims)
- Description of what happened
- Estimated or claimed amount
- Save the claim
Managing a Claim
Each claim tracks its progress from lodgement through to resolution:
- Record correspondence, decisions, and payments
- Link supporting documents
- Capture the outcome and any settlement amount
Workers' Compensation
Workers' compensation claims connect to the injured employee's record (see the People Management guide), so the claim, the person, and any related leave or return-to-work activity stay together. Use the claim to record the incident, the insurer's response, and payments made.
If an injury or its handling leads to a workplace grievance, log it as a case in the Disputes & Grievances guide and keep the two records cross-referenced.
Troubleshooting
I'm not getting renewal or certificate-expiry reminders
Reminders are driven by the dates you record. Check that the policy has an accurate expiry date and that each certificate of currency has its valid-to date set. If those fields are blank or wrong, no reminder can fire - open the policy or certificate and correct the dates.
A workers' compensation claim isn't linked to the right employee
When lodging the claim, the Person involved field links it to the injured employee's record. If it's linked to the wrong person, open the claim and reselect the correct employee so the claim, the person, and any related leave stay together.
My premium balance looks wrong for a policy
The outstanding balance is calculated from the payments you record against that policy. If it looks off, go to Insurance > Payments and check that every instalment has been recorded with the correct policy, date, and amount - a missing or misallocated payment is the usual cause.
I can't find a certificate a client has asked for
Certificates live on the policy they belong to, and also in the Insurance > Certificates register. If it isn't there, it hasn't been uploaded yet - open the policy and use Add Certificate to upload the file and record its valid-from and valid-to dates.
A claim's progress isn't reflected anywhere
A claim only shows movement once you update its status and add records as it progresses. Open the claim and update the status, log correspondence and decisions, and link supporting documents so the dashboard and claim history stay current.
Frequently asked questions
What types of insurance can I track?
Any policy your business holds - including Workers' Compensation, Public & Products Liability, Professional Indemnity, Business/Property, Motor Vehicle, and Management Liability. You can add other types as you need them when creating a policy.
Can I pay a premium in instalments?
Yes. When you record a payment under Insurance > Payments, enter the instalment details against the relevant policy. Recording each instalment keeps a clear history of what's been paid and what's still outstanding.
Where do workers' compensation claims connect to the rest of Mployr?
They link to the injured employee's record, so the claim sits alongside the person and any related leave or return-to-work activity. See the People Management guide for the employee side.
How do I share a certificate of currency with a client or principal?
Certificates are stored against their policy and in the Certificates register with their valid-from and valid-to dates, so they're easy to find and download when requested at short notice.
What happens when a policy is about to lapse?
Each policy shows its expiry date, and accurate dates trigger reminders before it lapses. Review your policy register ahead of each renewal cycle to confirm cover is still adequate before renewing.
